1. Who we are and what this policy covers
FitUp is operated by Yehonatan Maliniak under the John Fit & Wellness brand (collectively, “FitUp,” “we,” “us,” or “our”). FitUp helps personal trainers and trainees manage training programs, nutrition plans, progress records, and training appointments.
This policy applies to the FitUp application, its public pages, AI-supported tools, and connected services. For privacy questions or requests, contact us at yonatan.maliniak@gmail.com.
2. Information FitUp collects
Depending on the features you use, FitUp may process:
- Account and profile data: email address, display name, username, account identifiers, date of birth, gender, profile image, role, approval status, membership status, and trainer-client relationship.
- Training data: programs, exercises, sets, repetitions, weights, RPE or RIR, notes, completed sessions, weekly goals, and historical workout records.
- Nutrition data: nutrition plans, meal blocks, foods, serving quantities, calories, macronutrients, selected vitamin values, food images, goals, and daily meal logs.
- Wellness data: body-weight entries and fitness, dietary, injury, or limitation information you choose to provide.
- Scheduling data: availability, appointments, participant names, appointment and cancellation notes, cancellation information, waitlists, recurring requests, follow-up slots, and administrative session prices.
- AI content: prompts, conversations, responses, and actions produced through AI Trainer, Chef, nutritional estimation, and related features.
- Technical data: authentication and session data, browser or device information, IP address, security logs, error information, and limited browser-storage values used to remember application state.
FitUp does not currently collect or process payment-card details.
3. How information is collected and whether it is required
Information may be provided directly by you, entered or assigned by your trainer, generated when you log activity, received from a service you connect, or collected automatically for authentication, security, and reliable application operation.
Providing personal information is generally voluntary. Account information is required to create and operate an account, and a feature cannot work without the information necessary for that feature. Google Calendar connection is optional and is not required to use FitUp’s core training and nutrition features.
4. How FitUp uses information
We use information to:
- Create, authenticate, approve, and maintain accounts.
- Connect trainees with their assigned trainers and enforce role-based permissions.
- Create, display, and preserve training and nutrition plans and history.
- Save workout, meal, body-weight, and progress records.
- Schedule appointments and synchronize eligible appointments with a connected calendar.
- Provide AI-supported fitness, meal-planning, and nutrition functionality.
- Enforce membership and account restrictions.
- Prevent abuse, maintain security, troubleshoot problems, and provide support.
- Comply with applicable legal obligations.
FitUp does not sell personal information or use it for targeted advertising.
5. Trainer, trainee, and administrator access
Trainees can access their own information. An assigned trainer may access and manage the trainee information needed to provide training services, including programs, nutrition plans, workout and body-weight records, progress, and appointments.
Authorized administrators may access information when necessary to operate FitUp, manage users, provide support, investigate security issues, or comply with law. Authorized account-impersonation functionality may be used for these purposes.
6. Google Sign-In and Google Calendar data
If you choose Google Sign-In, FitUp may receive your Google account identifier, name, and email address for authentication and account linking.
Google Calendar connection is a separate, optional authorization. When connected, FitUp uses Calendar access only to create, update, and delete FitUp training-session events in your primary calendar. An event may contain its date and time, the other participant’s display name, a FitUp session description, and reminders.
FitUp stores synchronization metadata such as the Google event identifier, calendar identifier, synchronization status, attempt information, and errors. Authorization credentials are handled by FitUp’s connector infrastructure. FitUp does not use this authorization to inspect or collect unrelated calendar events.
FitUp does not use Google Workspace API data for advertising, data brokerage, credit decisions, or to develop, improve, or train generalized or non-personalized AI or machine-learning models. FitUp’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
You may disconnect Calendar from your FitUp profile or revoke access through your Google Account. Disconnecting stops future synchronization. Events already created may remain in Google Calendar until you delete them, cancel them while synchronization is still available, or request assistance.
7. AI features and external services
FitUp uses Base44 infrastructure and Base44-managed AI services for AI Trainer, Chef, food estimation, exercise classification, and food-image assistance. These services may process prompts and the FitUp context necessary to provide the requested feature. AI output may be inaccurate and is not medical advice.
FitUp may send a food-search term to Pexels to locate a suitable food image. FitUp does not intentionally include the user’s identity in that search. Google Calendar data is not submitted to FitUp’s AI Trainer or Chef features.
8. When information is shared
FitUp may share or make information available:
- Between an assigned trainer and trainee as required for the training relationship.
- To authorized administrators and support personnel.
- To Base44 and providers supporting hosting, databases, authentication, files, connectors, and AI functionality.
- To Google when you choose Google Sign-In or connect Google Calendar.
- To Pexels when a food-image search is requested.
- When required by law or necessary to prevent fraud, abuse, or a security threat.
- As part of a business transfer, subject to applicable legal requirements.
9. Retention and deletion
FitUp retains account and activity information while an account is active and for as long as reasonably necessary to provide requested training history, operate and secure the service, resolve disputes, and comply with applicable law.
You may request account and personal-data deletion by emailing yonatan.maliniak@gmail.com. After verifying the request, FitUp will delete or de-identify personal information that is not legally or operationally required to be retained. Limited residual copies may remain in protected backups until normal backup rotation removes them.
A deletion request may cover profile information, workout and nutrition records, body-weight history, scheduling records, calendar-sync metadata, AI conversations, and personal uploaded files. De-identified information that can no longer reasonably identify a user may be retained.
10. Your rights and choices
Subject to applicable law, you may request to:
- Know what personal information FitUp holds about you.
- Access or receive a copy of that information.
- Correct inaccurate or incomplete information.
- Delete your account and personal information.
- Withdraw consent for optional processing or disconnect an integration.
- Object to or restrict certain processing where applicable.
FitUp may need to verify your identity before completing a request.
11. Security
FitUp uses reasonable technical and organizational safeguards designed to protect personal information, including authentication, role- and relationship-based access, backend authorization controls, and service-provider security measures. No online service can guarantee absolute security. Users are responsible for protecting their credentials and reporting suspected unauthorized access.
12. Minors
Users under 18 may use FitUp only with authorization and supervision from a parent or legal guardian and, where applicable, an approved trainer. A parent or guardian may contact us to request access, correction, or deletion of a minor’s information.
13. International processing and policy changes
FitUp’s providers may process information outside your country of residence. Where required, appropriate legal and contractual safeguards will be used.
We may update this policy when FitUp or its data practices change. The revised page will show a new update date, and additional notice will be provided when required.
